These guidelines define the standards and expectations for all Hosts on the Roamaya platform. By listing trips on Roamaya, you agree to uphold these principles and maintain the quality that our travelers expect.
1. Trip Listing Standards
1.1 Accuracy & Transparency
- Honest descriptions: All trip details — itinerary, inclusions, exclusions, difficulty level — must be accurate and up to date.
- Genuine photos: Use real, recent photos of the destinations. Stock imagery or misleading visuals are not permitted.
- Clear pricing: All costs must be transparently listed. No hidden fees or surprise charges after booking.
- Accurate capacity: List only the number of seats you can genuinely accommodate with a quality experience.
1.2 Trip Content Requirements
- Detailed day-by-day itinerary with timings.
- Clear mention of what's included (meals, transport, accommodation, activities).
- Clear mention of what's excluded (personal expenses, optional activities, insurance).
- Difficulty/fitness level indication where applicable.
- Meeting point details with specific location and time.
- Emergency contact information.
2. Safety & Responsibility
2.1 Traveler Safety
- Risk assessment: Identify and mitigate potential risks for every trip.
- Emergency preparedness: Have a documented emergency plan, first-aid kit, and access to medical facilities.
- Weather awareness: Monitor weather conditions and make responsible decisions about trip viability.
- Group management: Maintain appropriate group sizes for the activity type and terrain.
- Insurance: We strongly recommend carrying liability insurance for your trips.
2.2 Vehicle & Transport Safety
- All vehicles used must be properly licensed, insured, and maintained.
- Drivers must hold valid licenses appropriate for the vehicle type.
- Night driving on mountain roads is discouraged unless absolutely necessary.
- Seatbelts must be available and their use encouraged.
3. Communication Standards
3.1 Pre-Trip Communication
- Respond to traveler inquiries within 24 hours.
- Send a detailed trip brief at least 48 hours before departure including meeting point, what to pack, and emergency contacts.
- Promptly notify travelers of any changes to the itinerary or schedule.
- Be available for last-minute questions on the day of departure.
3.2 During the Trip
- Be present and accessible to the group at all times.
- Communicate schedule changes clearly and promptly.
- Address concerns or complaints on the spot — don't defer to "after the trip."
3.3 Post-Trip
- Share trip photos/media within 48 hours where possible.
- Address any post-trip concerns or feedback professionally.
- Respond to reviews — positive or negative — with grace and professionalism.
4. Cancellation & Modification Ethics
- Avoid last-minute cancellations: Only cancel when genuinely necessary (safety, weather, regulatory issues).
- Provide maximum notice: If cancellation is required, notify travelers as early as possible — minimum 48 hours.
- Offer alternatives: Where possible, offer rescheduling or alternative dates before cancellation.
- Material changes: Any significant change to the itinerary, accommodation, or pricing must be communicated and travelers given the option to cancel with a full refund.
5. Quality Standards
5.1 Accommodation
- Accommodation must match or exceed what is described in the listing.
- Clean, safe, and comfortable sleeping arrangements are non-negotiable.
- If described accommodation becomes unavailable, an equivalent or better alternative must be arranged at no extra cost to travelers.
5.2 Meals
- If meals are included, they must be hygienic, adequate, and as described.
- Accommodate dietary requirements (vegetarian/vegan/allergies) wherever communicated in advance.
- Safe drinking water must always be available.
5.3 Activities
- Activity providers/guides must be qualified and experienced.
- Safety equipment must be provided for adventure activities (helmets, harnesses, life jackets, etc.).
- Activities must match the advertised difficulty level.
6. Prohibited Conduct
- Discrimination based on gender, religion, caste, ethnicity, or sexual orientation.
- Harassment or inappropriate behavior toward travelers.
- Encouraging or facilitating illegal activities.
- Operating under the influence of alcohol or drugs during trip activities.
- Charging travelers for services already included in the listed price.
- Soliciting bookings outside the Roamaya platform to avoid platform fees.
- Fake reviews or incentivized positive reviews.
7. Ratings & Accountability
- Hosts are rated by travelers after each trip on safety, communication, value, and experience quality.
- Hosts falling below a 3.5 average rating over 5 trips will receive a warning and improvement guidance.
- Continued poor ratings may result in reduced visibility, suspension, or removal from the platform.
- Hosts with consistent 4.5+ ratings unlock Partner Program benefits.
8. Reporting & Support
- Report safety incidents to Roamaya within 24 hours.
- Cooperate with platform investigations promptly.
- Use the Host Dashboard to manage trips, payouts, and communications.
